Copy cell formatting
In Excel, you can easily copy cell formatting from one cell to another using the Format Painter tool. This tool allows you to apply the same formatting (such as font, color, borders, alignment, etc.) to other cells without changing their content.
Steps to Copy Cell Formatting Using the Format Painter:
- Select the Cell with the Desired Formatting:
- Click on the cell that has the formatting you want to copy. This is the source cell.
- Use the Format Painter:
- On the Home tab, in the Clipboard group, click the Format Painter button (it looks like a paintbrush).
- One-time Use: If you click the Format Painter once, it will allow you to copy the format and then apply it to a single selection of cells.
- Multiple Uses: If you want to apply the formatting to multiple cells, double-click the Format Painter button. This will keep the Format Painter active until you turn it off by pressing Esc or clicking the Format Painter button again.
- Apply the Formatting:
- After clicking the Format Painter, your cursor will change to a paintbrush. Click and drag over the range of cells where you want to apply the copied formatting.
- The formatting of the source cell will be applied to the selected target cells.
- Deactivate the Format Painter (if you used it multiple times):
- Press Esc on your keyboard to deactivate the Format Painter, or click the Format Painter button again if it’s in the active state.

Using the Paste Special Option:
- Select the Source Cell:
- Select the cell with the formatting you want to copy.
- Copy the Cell:
- Right-click the cell and choose Copy or press Ctrl + C (Windows) / Cmd + C (Mac).
- Select the Target Cells:
- Highlight the cells where you want to apply the formatting.
- Use Paste Special:
- Right-click on the selected cells and choose Paste Special.
- In the Paste Special dialog box, select Formats and click OK.
