Present your data in a Gantt chart
Creating a Gantt chart in Excel is a great way to visually track project timelines and task durations. Although Excel doesn’t have a built-in Gantt chart type, you can create one using a stacked bar chart with some formatting.
How to Create a Gantt Chart in Excel
Step 1: Prepare Your Data
Set up your data like this:
| Task | Start Date | Duration (days) |
|---|---|---|
| Task 1 | 6/15/2025 | 5 |
| Task 2 | 6/20/2025 | 8 |
| Task 3 | 6/25/2025 | 3 |
| Task 4 | 6/28/2025 | 7 |
Step 2: Insert a Stacked Bar Chart
- Select your data range including Task names, Start Date, and Duration.
- Go to Insert → Bar Chart → choose Stacked Bar.
Step 3: Format the Chart to Look Like a Gantt Chart
- Right-click the Start Date series (the bottom bars).
- Select Format Data Series.
- Set Fill to No fill — this hides the start date bars, leaving only durations visible.
- Reverse the task order:
- Click the vertical axis (task names).
- Right-click → Format Axis.
- Check Categories in reverse order.
Step 4: Adjust Dates on the Horizontal Axis
- Right-click the horizontal date axis.
- Choose Format Axis.
- Set the Minimum bound to your project start date for better scale.
Optional: Customize Your Gantt Chart
- Add data labels to show durations.
- Change bar colors for different task statuses.
- Add gridlines or milestones.
