Use the Data Selector to specify Organization data types
In Excel, after you have converted text into the Organization data type, you can use the Data Selector to specify and extract specific details from the organization data type. The Data Selector is an easy way to choose the exact data fields (such as revenue, industry, or employee count) that you want to add to your worksheet.
Steps to Use the Data Selector to Specify Organization Data Types
- Convert Text to Organization Data Type:
- First, ensure you have a list of organization names in a column.
- Select the cells with the organization names.
- Go to the Data tab on the Ribbon and click on the Organizations button in the Data Types group. This will convert the text into the Organization data type.
- Use the Data Selector:
- After the text is converted, you’ll see an icon (a building) appear next to each organization name.
- Select a cell that contains the Organization data type.
- A small Insert Data button will appear to the right of the cell. Click on this button, and the Data Selector will open.
- Choose the Data You Want to Extract:
- The Data Selector displays all the fields that you can extract for the selected organization (for example, Industry, Employee Count, Revenue, Headquarters Location, etc.).
- Click on the field you want to extract (e.g., Employee Count).
- Insert the Data into the Worksheet:
- After selecting a data field from the Data Selector, Excel will automatically fill the adjacent cell with the requested information.
- You can repeat the process to extract multiple pieces of information for each organization.
- Drag to Fill Additional Cells (Optional):
- If you have a list of organizations and want to extract the same information (e.g., Employee Count) for multiple rows, simply drag the fill handle (small square at the bottom right of the selected cell) down to fill the adjacent cells with the same information for each organization.
- Refresh the Data:
- If the information in the organization data type changes or if you want to ensure you have the latest data, you can refresh the data by going to the Data tab and clicking on Refresh All.
Example of Extracting Data Using the Data Selector
- Convert Company Names to Organization Data Type:
- Suppose you have a list of company names like:
- Apple
- Microsoft
- Select these names, go to Data > Organizations to convert them to the Organization data type.
- Suppose you have a list of company names like:

- Select a cell with the organization (e.g., Apple) and click the Insert Data button.
- Choose Employee Count from the Data Selector list.
- Excel will automatically populate the adjacent cell with the number of employees for Apple.
- Repeat for Other Data:
- You can repeat this process to extract other information, such as Revenue, Industry, and Headquarters for each company.
Tips for Using the Data Selector:
- Multiple Fields: You can extract multiple fields by clicking the Insert Data button for each additional piece of information you need (e.g., Revenue, Market Cap, etc.).
- Data Updates: The data in the Organization data type is pulled from an online data source, so it can be updated periodically. Be sure to refresh your data if needed.
- Organizing Data: For better organization, consider placing different types of information (e.g., revenue in one column, employee count in another) next to the organization name column.
